Position Overview
We are seeking an enthusiastic and results-driven Recruitment Coordinator – Attendee Engagement to join our team. In this role, you will be responsible for recruiting attendees for our educational meetings and conferences, ensuring high engagement and participation. You will play a key role in expanding our reach within the oncology community and driving attendance at our events. Key Responsibilities

  • Attendee Recruitment: Proactively reach out to potential attendees, including healthcare professionals, industry leaders, and key stakeholders, to encourage participation in upcoming meetings and conferences.

  • Audience Targeting & Outreach: Utilize various outreach channels such as email campaigns, social media, and direct messaging to target relevant audiences.

  • Relationship Building: Build and maintain positive relationships with potential attendees, speakers, and key opinion leaders to enhance event engagement.

  • Event Promotion: Collaborate with the marketing team to create promotional materials and campaigns that drive attendance.

  • Registration Management: Track and manage attendee registrations, ensuring data accuracy and timely follow-up communications.

  • Data Analysis & Reporting: Monitor recruitment metrics and provide reports on attendee acquisition, engagement rates, and feedback to optimize strategies.

  • Stakeholder Collaboration: Work closely with internal teams, including planning, marketing, and operations, to align recruitment strategies with event goals.

  • Onsite Engagement Support: Provide on-site support at events to ensure a positive attendee experience and facilitate networking opportunities.

Required Qualifications

  • Education & Experience:

    • Bachelor’s degree in Marketing, Communications, Event Management, or experience in related field preferred.

  • Advanced Excel Skills:

    • Accelerated proficiency in Excel is required, including experience with data analysis, reporting, and managing attendee databases.

  • Communication Skills:

    • Exceptional written and verbal communication skills, with the ability to effectively engage diverse audiences.

  • Marketing & Outreach Expertise:

    • Proven experience in leveraging social media platforms, email marketing, and other digital channels for outreach and recruitment.

  • Organizational Skills:

    • High attention to detail and excellent organizational abilities to manage multiple events and recruitment timelines.

  • Interpersonal Skills:

    • Strong relationship-building and networking abilities to engage potential attendees and influencers.

  • Tech-Savvy:

    • Proficiency with Excel

  • Problem-Solving & Adaptability:

    • Creative problem-solving skills and the ability to adapt to changing event requirements and recruitment goals.

Preferred Qualifications

  • Experience in medical education, healthcare, or oncology-focused events is a plus.

  • Familiarity with event management software and tools.
