Position Overview
We are seeking a highly organized, proactive, and detail-oriented Program Coordinator to join our team. This role is ideal for a candidate who thrives in a fast-paced environment, is passionate about medical education, and is comfortable managing logistics both behind the scenes and on-site at live events.
Key Responsibilities
Coordinate the planning and execution of live, virtual, and hybrid medical education meetings and conferences.
Manage timelines, budgets, and logistical details across multiple programs.
Communicate clearly and professionally with internal teams, faculty, sponsors, vendors, and other key stakeholders.
Support pre-meeting logistics such as venue sourcing, contract processing, catering, AV needs, and travel coordination.
Provide on-site event support, including registration desk management, speaker assistance, and overall logistics oversight.
Maintain accurate tracking of program budgets and expenses.
Schedule and facilitate planning calls, team check-ins, and post-event debriefs.
Collaborate with vendors to ensure deliverables align with program goals and compliance requirements.
Help design and improve internal procedures to optimize efficiency and reduce errors.
Identify opportunities to improve the planning process and attendee experience.
Contribute to program development and special projects as assigned.
Qualifications
Bachelor’s degree or relevant experience in event coordination, medical education, or hospitality.
Minimum 3 years of experience in conference or meeting planning (medical education or healthcare industry preferred).
Exceptional organizational skills and attention to detail.
Strong written and verbal communication, including email and professional social media platforms.
Proficient in Microsoft Office Suite; experience with project management or event tools is a plus.
Demonstrated ability to manage multiple projects simultaneously in a fast-paced environment.
Customer-service mindset with strong interpersonal skills.
Ability to work independently and collaboratively in a remote, cross-functional team.
Willingness to travel up to 50% of the time, including weekends as needed.
Self-starter with a proactive attitude and passion for continuous improvement.

Please note: We are currently hiring for this position in Florida (FL), Illinois (IL), Tennessee (TN), and Texas (TX) only. Candidates must reside in one of these states to be considered for this role.
