Position Overview
We are looking for a motivated, detail-oriented, and highly reliable Program Assistant to support the planning and execution of live, virtual, and hybrid medical education programs. This is an ideal role for someone already in or looking to transition into the medical education space, with strong organizational and communication skills and a desire to grow in a fast-paced, mission-driven environment.
You’ll work directly with Program Coordinators and other team members to support the day-to-day logistics and execution of CME and CE-accredited meetings. If you love checklists, thrive in support roles, and enjoy learning by doing, we want to hear from you.
Key Responsibilities
Assist with the coordination of logistics for medical education events, including scheduling, communications, and administrative tasks.
Support pre-meeting tasks such as venue research, travel and accommodation tracking, and collecting speaker materials.
Help maintain detailed program files, budgets, and checklists to ensure timely execution of deliverables.
Participate in planning calls and team meetings, capturing notes and tracking next steps.
Assist in communication with faculty, vendors, and internal teams in a professional and timely manner.
Provide on-site or virtual event support (e.g., registration desk, speaker support, attendee communication) as neede.d
Prepare and organize meeting materials, name badges, agendas, and shipping logistic.s
Help with post-event follow-ups, such as surveys, reconciliations, and summary report.s
Contribute to special projects, content tracking, and internal process improvements.
Qualifications
Associate’s degree, Bachelor’s degree, or relevant administrative/event support experience.
1–2 years of experience in a professional meetings and conferences.
Excellent organizational skills and the ability to manage multiple priorities with supervision.
Strong communication skills, both written and verbal.
Comfortable with remote collaboration tools (Zoom, Slack, Cvent, Microsoft Office).
Detail-oriented, dependable, and eager to learn.
Ability to travel regularly (up to 2 times per month), including some weekends, with flexibility for additional travel as program needs require.
A team-player mindset with a positive, can-do attitude.

Please note: We are currently hiring for this position in Florida (FL), Illinois (IL), Tennessee (TN), and Texas (TX) only. Candidates must reside in one of these states to be considered for this role.
